Case 05 | ‘Pick up someone first’ — why ‘no problem’ can be the wrong answer

At 14:00 the client suddenly says: “Let me first meet someone in Lujiazui for about an hour, then go to the airport.” Most people’s first reaction is “No problem” — but the risk in that sentence may be far larger than it sounds.

01The Scenario

Original Plan

15:00  Depart city hotel
        To Pudong Airport
18:30  International flight

At 14:00, the client suddenly says:

“Let me first meet someone in Lujiazui for about an hour, then go to the airport.”

02Most People’s First Reaction

Many drivers or customer-service reps respond with:

“Sure, no problem.”

But in reality that answer carries significant risk.

03First, Do the Math

The international flight departs at 18:30.

If the recommendation is:

16:00 arrival at the airport

Then the latest possible departure has become extremely tight.

Assume:

  • 14:30Arrive in Lujiazui
  • +1h  Meeting runs 1 hour
  • 15:30Meeting ends
  • +1h  ~1 hour to Pudong Airport

Theoretically:

16:30 at the earliest arrival.

That’s already 30 minutes later than the original plan.

If traffic stacks up, the risk keeps rising.

04What Should Be Done — Not “Yes”

What should actually happen here is not “saying yes” but running a:

Feasibility Check

Items to check:

  • FLIGHT    Flight time
  • AIRPORT  Recommended airport arrival time
  • CURRENT  Current location
  • ADDED    Time cost of the new leg
  • TRAFFIC  Live traffic
  • BUFFER   Buffer time

05How to Tell the Client

Not a simple:

“Sure.”

But rather:

Currently we can still arrange it, but the airport buffer will be noticeably compressed. If the meeting runs longer than planned, there’s a real risk of missing the flight.

Then offer choices:

  • Shorten the meeting
  • End it early
  • Move it online
  • Reschedule the flight
  • Cancel the added leg

06Why This Case Matters

Real professional chauffeur service is not:

Doing whatever the client says.

It is:

Surfacing hidden risks for the client — before execution.
The Rule This Case Produced
Any last-minute itinerary change involving a hard time node — flight, high-speed rail, formal meeting — must trigger a recalculation of Buffer Time.

If Buffer ≤ 0, the risk must be clearly flagged instead of answered with another “no problem.”
