Why Should Corporate Teams Book Transportation in Advance During Inclusion·The Bund Conference?

The 2026 Inclusion·The Bund Conference is taking place in Shanghai this week.

For corporate teams attending the event, transportation often involves much more than simply getting between the hotel and the venue. Airport transfers, client meetings, business dinners, and even post-event trips to other cities may all be part of the same itinerary.

During major events, demand for business vehicles can rise quickly, making it especially important to plan transportation in advance and account for details that are easy to overlook.

Why is it harder to find the right vehicle during major events?

When exhibitions, conferences, and summits take place at the same time, airport transfers, venue transportation, and client visits often happen within similar time windows. Multiple vehicles may need to operate on different routes at the same time.

We experienced a similar situation during the Canton Fair. One overseas business visitor was staying near the Pazhou exhibition area and arranged airport transfers in advance once the itinerary was confirmed.

During peak event periods, adding vehicles at the last minute may mean fewer choices in terms of vehicle type, driver availability, and scheduling. Once your event dates are confirmed, it is therefore helpful to secure the basic transportation capacity first and adjust the details as the meeting schedule develops.

Four areas corporate teams often overlook

① Multiple routes happening at the same time

Corporate teams rarely move together throughout the entire day.

Some team members may attend the conference in the morning, while others visit clients in the afternoon. In the evening, the group may split again for different business dinners.

Transportation should therefore be planned around parallel routes and schedules, rather than simply based on the number of people in the group.

② Waiting time during meetings and events

Business schedules often include gaps between meetings and events.

Before the trip, it is worth confirming whether the driver will remain with the group, how waiting time is charged, and whether parking and toll fees are included.

For corporate travel arrangements, these service details and potential additional costs should ideally be clarified in the transportation plan in advance.

③ Airport transfers

Overseas and out-of-town guests may arrive on different flights, and delays are always possible.

For corporate reception services, flight information should be collected in advance so the driver can adjust the pickup according to the actual arrival time.

For international guests, it is also important to confirm details such as name-board pickup, language capabilities, and professional meet-and-greet service.

④ Business travel after the event

The conference may not be the final stop of the trip.

After the event, teams may still have client meetings, supplier visits, or business dinners.

Evening transfers between the venue, restaurants, and hotels are also worth including in the transportation plan rather than arranging them at the last minute.

Corporate event transportation is about the entire journey

For a corporate team attending an event in Shanghai, a typical day might look like:

Pudong / Hongqiao Airport → Hotel → Conference Venue → Client Meeting → Business Dinner → Hotel

For overseas companies visiting Shanghai, the itinerary may continue to offices, suppliers, factories, or other cities.

This means corporate transportation planning should cover more than just vehicles. It should take into account the number and type of vehicles, drivers, timing, routes, airport transfers, waiting arrangements, and backup options in case the itinerary changes.

The Bund Conference is only one part of the itinerary

For corporate teams, the conference itself is only one stop in a much larger business itinerary.

Airport transfers, hotels, client meetings, business dinners, and post-event travel all need to connect smoothly.
