How Should Overseas Companies Plan Transportation for Factory Visits in China?

Overseas companies visiting China for factory tours, supplier meetings, or technical discussions often have a packed schedule spanning several days.

Beyond airport transfers, transportation may be needed between factories, hotels, meeting venues, and different cities.

When the number of travelers, destinations, or schedule changes, transportation arrangements may need to be adjusted accordingly.

An 8-Day Business Trip Across 5 Cities

We once arranged 8 days of ground transportation in China for a team from a German automotive engineering company.

Three German executives and their Chinese counterparts traveled between:

Shanghai → Nantong → Tianjin → Beijing → Chongqing

The itinerary included supplier visits, technical center tours, and business meetings.

While in Nantong, the group had to split up temporarily.

Three team members stayed in Nantong, while one returned to Shanghai that same day.

Based on the updated group size and routes, we rearranged the vehicles and continued coordinating transportation for the rest of their multi-city itinerary.

What Should You Consider for Multi-Day, Multi-City Business Travel?

01|One Point of Contact

A dedicated coordinator follows the trip from the initial planning stage through to completion.

If anything changes, the team can communicate directly with the same person without having to repeat the details.

02|Adjust Transportation When Plans Change

Business schedules can change along the way.

If the team adds a destination, splits into different groups, or changes the itinerary, vehicles can be rearranged based on the updated group size and routes.

03|Coordinate Multiple Cities Through One Team

When a trip involves several cities, vehicles and drivers can be coordinated through the same service team, reducing the need to communicate separately with different local providers.

04|Ongoing Vehicle & Driver Coordination

Vehicle and driver arrangements are confirmed in advance.

If unexpected changes come up during the trip, adjustments can be coordinated promptly to help keep the rest of the itinerary on track.

05|Bilingual Communication Support

Chinese-English communication support helps facilitate communication between overseas clients, company administrators, and local drivers.

What Information Should Companies Prepare Before a Factory Visit?

Preparing the following information in advance can make transportation planning much smoother:

Group Size
Include whether team members may need to travel separately at any point.

Cities to Visit
Confirm the cities involved and, if possible, the expected travel sequence.

Factory & Supplier Addresses
Provide accurate addresses and on-site contact information whenever possible.

Daily Itinerary
Include departure times, destinations, and estimated end times.

Special Requirements
For example, airport transfers, separate vehicles for different groups, or bilingual communication support.

Having these details ready in advance makes it easier to coordinate vehicles and drivers.

And if the itinerary changes during the trip, transportation can be adjusted accordingly.
