Last November, we arranged transportation in Shanghai for a group of overseas business visitors for seven consecutive days.

How Should You Choose the Right Transportation for a 3–5 Day Business Trip?
The best option depends on the schedule for each day.
① Point-to-Point Transfers
Suitable for airport transfers, hotel transfers, individual client visits, and other fixed trips.
For example:
Pudong Airport → Hotel
Hotel → Client’s Office
If there are only one or two fixed destinations that day, booking individual transfers is usually sufficient.
② Hourly Service
If you need to visit multiple locations throughout the day and require the driver to wait between stops, hourly service can be a better option.
For example:
Hotel → Trade Show → Client Meeting → Business Dinner → Hotel
The driver stays with the group throughout the day, so there is no need to arrange a new vehicle for each stop.
③ Multi-Day Chauffeur Service
If you have business meetings or visits scheduled over several consecutive days, you can reserve the vehicle and driver in advance.
In the case mentioned above, the client ultimately used the same Buick business van and the same driver for seven consecutive days.
The departure location changed each day according to the itinerary, with trips from the hotel to different business locations across Shanghai.
④ Multi-City Transportation
If your itinerary includes:
Shanghai → Suzhou → Hangzhou → Shanghai
it is important to confirm the following in advance:
Intercity routes
Daily service hours
Estimated mileage
Whether the same vehicle and driver will accompany the group throughout the trip
The same client later also inquired about:
Shanghai – Suzhou – Hangzhou, 5 days / 4 nights
Shanghai – Suzhou – Zhouzhuang – Hangzhou, 4 days / 3 nights
For this type of business trip, confirming intercity transportation in advance makes the overall itinerary much easier to manage.
What If the Itinerary Changes at Short Notice?
Business itineraries do not always go exactly as originally planned.
In this case:
Driver change
The client initially booked an English-speaking driver. Later, because the guests arranged their own interpreter, the driver was changed to a Chinese-speaking driver.
Change in service days
The original booking was for six days, but one additional day was added before the final day, bringing the total to seven days.
Change in departure locations
The departure location also changed from day to day based on the guests’ schedule.
These changes do not necessarily require the entire transportation plan to be rearranged.
If the vehicle and driver have already been reserved, the remaining arrangements can simply be updated based on the revised itinerary.
Chinese-Speaking or English-Speaking Driver?
This mainly depends on how your team handles communication.
If the group has an interpreter, or someone who can communicate in Chinese, a Chinese-speaking driver is often sufficient for daily transfers and itinerary execution.
If guests need to communicate directly with the driver, an English-speaking driver may be more suitable.

For this particular booking, the client requested daily records of service hours and mileage.
After the seven-day trip, the records were consolidated into one final bill for the company to process payment and invoicing.
